The Natural Vet Ltd (we, us, our) is the data controller for the personal information you give us when you register your pet, book an appointment, use our website or otherwise interact with the practice. We are registered with the Information Commissioner's Office under registration number ZA000000.
To deliver veterinary care responsibly we hold:
We use your data to provide veterinary care, to keep your pet's medical history complete and accurate, to take payments, to send appointment reminders and prescription updates, and to comply with our regulatory obligations to the RCVS and HMRC. We never sell your data, and we only share it with third parties where we have a clear lawful basis to do so, such as referral practices, your insurer (with your consent) or our regulator.
RCVS requires us to keep clinical records for at least seven years after the last visit. We may keep them longer where there is a clinical reason or a legal obligation. Marketing preferences and accounts data are kept while your account is active, and for a short period afterwards in case you return to us.
You have the right to ask for a copy of the personal data we hold about you, to ask us to correct anything that is wrong, to ask us to delete data we are not required to keep, and to object to or restrict certain uses. To exercise any of these rights, please email reception@thenaturalvet.co.uk. We will respond within one month.
If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
Clinical records are held in our practice management system, hosted with a UK-based provider, with encrypted storage and role-based access. Paper records are kept in locked storage. We train every member of the team in data handling and review our procedures annually.
